Back Office Suite (“Back Office Suite”, “we”, “us”, or “our”) provides a business management platform for nail salons and similar businesses. This Privacy Policy describes how Back Office Suite collects, uses, and protects information when you use our service at https://bos.onesolution365.com.

1. Information We Collect

Back Office Suite collects the following types of information:

• Account information — your name and email address provided via Google Sign-In.
• Business data — employee records, pay periods, pay stubs, and expense records that you enter into Back Office Suite.
• Uploaded files — photos uploaded for social media posts and expense receipts, stored in Google Drive.
• Social media tokens — OAuth access tokens for connected social accounts (TikTok, Facebook, Instagram, Google Business Profile), stored securely and used solely to publish content on your behalf.
• Usage data — standard server logs (IP address, browser type, pages visited) for security and performance monitoring.

2. How We Use Your Information

Back Office Suite uses collected information to:

• Provide and operate the Back Office Suite platform and its features.
• Publish social media content (photos and captions) to your connected accounts on your explicit request.
• Generate payroll reports and export them to Google Sheets.
• Send push notifications related to your business operations.
• Improve and maintain the security of Back Office Suite.

We do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Third-Party Services

Back Office Suite integrates with the following third-party services to deliver its functionality:

• Google — authentication (Google Sign-In), file storage (Google Drive), and spreadsheet export (Google Sheets).
• TikTok — content publishing via the TikTok Content Posting API when you connect a TikTok Business account to Back Office Suite.
• Meta (Facebook / Instagram) — content publishing via the Meta Graph API when you connect a Facebook Page or Instagram Business account.
• Google Business Profile — photo publishing via the Google My Business API when you connect a GBP location.
• Anthropic — AI-generated captions using the Claude API. Uploaded photos may be processed by Claude to generate caption suggestions.
• MongoDB — encrypted cloud database hosting your business data.
• Amazon Web Services (AWS S3) — file storage.

Each third-party service is governed by its own privacy policy. Back Office Suite only requests the minimum permissions needed to deliver the requested functionality.

4. TikTok Data

When you connect a TikTok Business account to Back Office Suite, we store your TikTok OAuth access token and refresh token to publish content on your behalf. These tokens are:

• Stored securely in an encrypted database.
• Used only to publish content that you explicitly submit through Back Office Suite.
• Never shared with third parties.
• Removable at any time by disconnecting your TikTok account in Back Office Suite settings.

Back Office Suite does not read, store, or process your TikTok followers, messages, analytics, or any other TikTok data beyond what is required to complete a content publish action.

5. Data Retention

Back Office Suite retains your data for as long as your account is active. You may request deletion of your data at any time by contacting us at the address below. Disconnecting a social account from Back Office Suite settings immediately removes the associated access tokens from our database.

6. Security

Back Office Suite uses HTTPS for all data in transit, encrypted storage for sensitive credentials, and access controls limiting data access to authorized users only. We follow industry-standard security practices to protect your information.

7. Children’s Privacy

Back Office Suite is intended for use by business owners and their employees. We do not knowingly collect information from individuals under 13 years of age.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. Continued use of Back Office Suite after changes are posted constitutes acceptance of the updated policy.
